This role supports the Business Manager in all aspects of their work. This includes but is not limited to managing meetings, appointments, phone calls, emails, written correspondence, and follow-ups as well as coordinating and managing special projects and assignments on behalf of the Business Manager. The role supports a fast-moving thinker who acts with enthusiasm and has a direct, assertive style. The desired candidate must be articulate, creative, detail-oriented, highly organized, have the ability to multitask, be skilled in the use of technology when used as a communication tool, and possess an optimistic outlook.

This role encompasses two working modes - clerical and administrative:
Clerical duties:
● Create organizational systems and tools that sustain the Business Manager in daily work to remain updated and connected with all schools and departments
● Organization of materials and data collection
● Remain up to date on all emails and correspondence sent to the Business Manager on a daily basis
● Create an organized filing system for records of meetings, correspondence, etc.
● Establish and maintain direct supervisor’s schedule
● Provide written communication on behalf of direct supervisor when needed
● Edit written work from direct supervisor on a scheduled basis; such items are as follows: staff evaluations, reports, memorandums, etc.
● Act as telephone/voicemail contact for the Met business office
● Greet visitors to the business office
● Additional duties as assigned
Administrative duties:
● Communicate on behalf of the direct supervisor with Principals and varied Directors regarding data, training materials, and overall school and business office information
● Act as the liaison between direct supervisor and school community in a way that makes constituents feel confident that the direct supervisor will receive the information shared or that their requests will be considered when received
● Attend meetings with a direct supervisor that support the bulk of their duties and for a better understanding of the work
● Responsible for correspondence between RIDE and The Met when needed
● Manage the rental and use of school property
● Distribute business office materials, documents and forms to the school community through the business office website and/or financial system portal
● Design, update and edit the business office website.
● Manage public bid opportunities for school projects and services. Work with directors and staff to create scope of work and bid package.
● Responsible for student incident reports documentation and recordkeeping, and
accurate/timely processing of student accident and insurance claims
● Manage and reconcile ancillary funds using Quickbooks
● Other special project work
Required Qualifications & Skills:
● Associates degree required
● Five years experience in a similar role
● Computer and internet proficiency: web navigation, Microsoft Windows, Office (Word, Excel, Outlook, PowerPoint, Google Docs)
● Proven written/oral communication skills (writing/editing, telephone follow-up)
● Ability to work independently and as a team member
● Ability to function under pressure, handle multiple assignments and follow through on deadlines ● Ability to research relevant information and analyze data
● Ability to take initiative
● Display diplomacy and professionalism at all levels
● Honor rules of confidentiality
● Remain productive, focused, and flexible in a constantly changing environment
Preferred Qualifications:
● Experience in assisting a senior-level executive
● Knowledge of Quickbooks
● Business or Accounting related background
